What personal information do we hold, and where does it come from?

If you’ve sent over a nomination, or been nominated for an award, we’ll hold a limited amount of your data. We’ll also hold your contact details if you signed up for our email updates. Our database holds a very small amount of your information such as;

• Name
• Email Address
• Current Role / Workplace

If you’ve visited our website, we may collect information about your computer, including your IP address, operating system and browser type.

Why do we hold your information?

We need to process your data as a nominee, or as the person nominating, to make sure we can get in touch with you if you’re successful or to request further info from you. We only collect data that is necessary and relevant to the nomination and judging process.

Once you’ve nominated or signed up with us, we’ll send you emails occasionally to keep you posted on the process and any announcements.

Cookies

We collect your computer info for system administration purposes. This is statistical data about your browsing actions and patterns, but it doesn’t identify you as an individual and we will not collect personal information in this way.

We may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer’s hard drive. They help us to improve our site and to deliver a better and more personalised service.
They enable us:
To estimate our audience size and usage pattern.
To store information about your preferences, and so allow us to customise our site according to your individual interests.
To speed up your searches.
To recognise you when you return to our site.

Where will your data be stored?

We will store your data in a secure and access locked data storage facility. Only the team at Game Dev Heroes will be able to access it, so don’t panic! We use mailchimp to send out any updates, so your details may also be held on our secure mailchimp account.

Who could your data be shared with?

Throughout the process your nomination will be assessed by a small team of judges. The information you submit may be viewable as part of that. By agreeing to the terms and conditions of the awards, you also consent to our carefully selected partners getting in touch with you.

Our Data Processors

The system we use to hold your information can only be accessed by members of the team at Game Dev Heroes. Mailchimp act as a Data Processor for Game Dev Heroes, in that your information is stored in the database, but nobody outside of our organisation will be able to access that.

How long will we hold your information for?

We’ll hold your information on our database for 5 years.

How to remove your data (Your right to be forgotten)

You have the right to ask us not to process your personal data for marketing purposes. You’ll be able to manage preferences such as this in mailchimp, or by clicking ‘unsubscribe’ directly from any marketing mailers you recieve.

Cookies

You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies. However, if you select this setting you may be unable to access certain parts of our site. Unless you have adjusted your browser setting so that it will refuse cookies, our system will issue cookies when you log on to our site.
